What belongs in a website care plan (and what to avoid)

A website isn't a thing you build once and forget. It's more like a car: it runs beautifully on day one, then quietly needs servicing, the odd repair and someone who knows where the spanner is. A website care plan is that servicing arrangement — a monthly agreement that keeps your site online, secure and up to date. The trouble is that "care plan" means very different things to different providers, and a vague one can cost you either money or your peace of mind. Here's what a good plan actually covers, and the clauses worth reading twice.

The essentials every plan should include

Strip away the marketing language and a solid care plan comes down to a handful of jobs that genuinely need doing. Reliable hosting on infrastructure that stays fast and up, so families never hit a dead page. Security — an SSL certificate kept valid, software and plugins patched promptly, and monitoring for anything suspicious. Regular backups, taken automatically and, crucially, tested so they actually restore when you need them. An uptime check that alerts your provider before you notice the site is down. And sensible software updates, so the site doesn't slowly drift into the broken, insecure state that neglected websites always reach.

The support that makes it worth paying for

Maintenance keeps the lights on; support is what you're really buying. A good plan gives you a named human to email or call, a clear response time when something breaks, and a set allowance of small content changes each month — updating your fees, swapping a photo, adding a new team member, publishing a vacancy. For a care home, that last part matters more than it sounds. Your inspection rating, your reviews and your care home details all change, and a site you can't easily keep current quietly stops telling the truth about your home.

What to avoid

The warning signs are usually in what a plan doesn't say. Be cautious of:

  • Vague scope. "Ongoing maintenance and support" with no detail means whoever wrote it decides later what's included — and it's rarely in your favour.
  • Ownership lock-in. If the plan doesn't confirm you own your domain, content and site files, you may find you can't leave without rebuilding from scratch.
  • Hosting held hostage. Some providers bundle hosting so tightly that cancelling the plan takes your website offline the same day.
  • Change requests that always cost extra. If every tweak is billable, the monthly fee is really just paying for the site to sit there.
  • No mention of backups or security. The two things most likely to save you in a crisis are the two things cheap plans quietly skip.
  • Long lock-in contracts. A confident provider earns your renewal each year rather than trapping you into three.

Match the plan to what your site actually is

A simple brochure website and a booking or resident-management system have very different needs. A care website mostly needs hosting, security and easy content edits. A web app or platform also needs the software behind it maintained, dependencies updated and data properly protected — a heavier plan, and rightly so. The mistake is paying platform prices for a brochure site, or trusting a bargain plan to look after a system real people depend on. Ask which one you're on, and make sure the price matches the work.

A quick note on data and compliance

Care sector websites often collect personal information through enquiry forms, so your care plan should include keeping that side secure and current too — valid SSL, patched software and working backups are all part of handling data responsibly. This is general guidance rather than legal advice; if you're unsure of your obligations, check them with a suitably qualified adviser.

The right plan is boring in the best way: your site stays fast, safe and current, and you barely think about it. Get the essentials, the support and the ownership terms clear up front, and a care plan stops being a line item you resent and becomes the reason your website keeps quietly earning its keep.
